Web Mail and your Quota

Everyone is issued a maximum amount of email space and once this quota is reached at 100%, you will be unable to receive any other mail. This document shows you how to save your email to a local disk on your computer's hard drive and remove it from the mail server, thus conserving space on the mail server. At the same time, this also allows you to have a local archive of your email.

Cleanup

To reduce your disk space usage, delete any emails that are no longer needed, especially emails with attachments.

Saving email

Web Mail cannot be used to save your email to your computer. If you wish to save your email to your computer, please use another email client.

Deleting email

By default Web Mail is set to Mark messages as deleted; Use Expunge to delete messages permanently when you delete an item from your Inbox. When you hit the Delete key the email will disappear from you view if the view is set to Default. Clicking Expunge will only delete the messages in the current folder. If you have messages in other folders that are marked for deletion, you must click on each folder and Expunge from within it. Optionally you may select messages that you wish to delete by checking them and then clicking Expunge this will delete the mail in one step.



In order to see the messages that you deleted you need to change the view from Default to All.  When you make this change you will see the message that you deleted.

 

 

When deleting an email in Web Mail, it is normally marked for deletion with a red X. Clicking on Actions and then the Expunge button will permanently remove the messages marked for deletion from the mail server for the page you are viewing. Please note that other deleted messages not on the displayed page are not expunged. (You could change the Settings under the Options tab to Remove deleted messages from Inbox on logout to permanently expunge all deleted messages when exiting the Web Mail program.)  There is also an option to Undelete messages under Actions that will move messages back to your Inbox. You cannot Undelete a message once it is expunged from the server.

Until you click on the Expunge button, the marked for deletion email still counts toward your quota.

You can also change your settings to use the Trash feature instead of Expunge. You can make this change under the Options tab. Here you can set mail to Move deleted messages to folder: Trash. You can also set mail to Empty messages from this folder on logout. This will delete your email from the Trash permanently.

When using the Trash option messages still count towards your quota until you empty them from your Trash. To Empty the trash, click on Manage Folders on your folder list.

 

You will then see the screen below. Clicking on Empty Trash will delete all of your messages permanently. When you click on Empty Trash you will also need to click OK at the message that asks if you want to Permanently remove all messages in Trash?
